7 Ways To Get The Most From Microsoft Hosted Exchange Email

If you’re using Microsoft exchange email for your emails, tracking daily tasks and checking and updating your calendar, that’s great! You’re on the right track! But did you know that apart from these tasks, Outlook’s hosted email exchange can help you become more productive? How?

  • You can set your work week in Outlook
    In Outlook (when you are using an exchange email account), by default, the work week is set as Monday through Friday and the work day is set at 8 AM to 5 PM. The first day of the week is Sunday. But if your workweek is different (e.g. Sunday to Thursday) and/or your office hours are different (e.g. 12 PM to 9 PM), you can change it accordingly. Just click the “File” tab, click “Options” and click “Calendar.” Proceed to change Work day and time.
  • You can work across time zones
    If you have a work team that’s spread all over the world, this feature is very useful. If for example, Outlook will calculate the intended local time of the meeting based on the information in the meeting request and converts UTC to the local computer of the attendee, even if Daylight Savings is in operation. This is because the date is set by the exchange email server.
  • You can sync your Outlook calendar with your other events
    For example, let’s say you are holding an event and you want to announce it through your website, a blog post or an email.In Outlook 2007, create an appointment in your calendar and open it. Click on the Office button at the top left, then, select “Save as.” Choose the destination where you want to save the file and select “iCalendar Format” in the menu that says, “Save as Type.” Click on “Save.” Upload the file to, for example, your website and then, link to it from the specific web page, blog post or email.Your attendees can now drag and drop or save that appointment to their own calendar, even if they don’t use Outlook.
  • You can synchronise your SharePoint content with Outlook
    If you store documents and other information in SharePoint, you can connect this with your exchange email server. You can connect your calendar, contact list and other types of lists in SharePoint to Outlook.Just go to your SharePoint calendar, library or list that you want to connect to Outlook. Click on Calendar, Library, or List. Then click on Connect to Outlook. This will enable you to continue working seamlessly. There’s no need to keep switching from one to the other.
  • Outlook can delay or schedule sending of emails
    Ever experienced sending an email only to realize later that you sent it to the wrong person or you sent the wrong message? In Microsft exchange email, you can delay sending a single message or use rules to delay delivery of your emails. Your messages will be held in the Outbox for a specified time after you click “Send.” This gives you time to edit your message or change your recipient. If you want an email to go at a specific time but don’t want to wait around to do it yourself, simply schedule it in.Click on the “File” tab, click “Account Settings.” On the Email tab, the Type column will list the type of accounts that are in your active Outlook profile. In the message, click “Options.” In the “More Options” box, click on “Delay Delivery.” Under the “Delivery options,” select the “Do not deliver before” box and choose the delivery date and time that you want.
  • You can have replies to your messages sent to a different email address
    Please take note that this feature is not available in Outlook 2013 if you are using a Microsoft Exchange Server email account. However, you can do this with both Outlook 2007 and Outlook 2003.After composing your message, click on “Options” then, click on “Direct replies to.” A new window will open. At the “Have replies sent to” field, type in alternative or additional email addresses or select recipients from your address book.
  • You can send and receive text messages using Outlook
    In addition to sending and receiving text messages, you can configure Outlook to send notifications to your mobile device as a text message.This is especially helpful if you need to know if an important email has arrived. You can even have that email forwarded to your mobile device as a text message.
